We’ve designed our dynamic email signatures to be simple to use and easy to install. This guide will walk you through the most common tasks, from installation to troubleshooting. If you have a question that isn’t answered here, don’t hesitate to reach out to our team!

1. Installing your Signature

The installation process is a straightforward copy-and-paste. The most important step is to copy the entire signature correctly.

  1. Get Your Signature: On the Signatures page, click the Highlight Signature button. This highlights the full, ready-to-go HTML signature so you can copy straight to your clipboard.
  2. Open Your Email Client Settings: Go to your email client’s signature settings. This is usually found in the “Settings” or “Preferences” menu.
  3. Paste the Signature: Click into the signature editor box and paste the signature. The Ctrl + V (Windows) or Cmd + V (Mac) shortcut works best.
  4. Save: Save your new signature. It’s now ready to use!

2. How to Edit Your Signature

All the email signatures on our platform are dynamic, which means the text and images are linked to our content management system (CMS) in the website. If you have signed up to be a signature editor you can log in and edit your signatures via our CMS. You should not attempt to edit the signature directly inside your email client’s settings.

  • To make changes to your signature, simply log in to your account and edit your details in the signature builder.
  • Once you save your changes, your signature will automatically update.
  • If you need to make changes to the layout or include new images, simply reach out and we can assist.

3. Self-Fixing Common Issues

Encountering a problem? Don’t worry, here are some quick solutions for the most common issues.

  • Images aren’t showing or are broken: This is usually due to a formatting error during the initial copy-and-paste. Simply re-copy your signature and paste it again into your email client’s settings.
  • The signature formatting looks broken or text spacing is off: This often happens when a rich text editor tries to format the signature after you paste it. Try using the “Paste as plain text” option if your email client has it. Otherwise, delete the old signature and re-paste it.
  • The signature looks different in my sent emails: Sometimes, your email client’s editor will display the signature differently than it appears when sent. Always test your signature by sending a quick email to yourself or a colleague to see how it looks.

4. Email Clients and Their Unique Quirks

While we strive for perfect compatibility, some email clients have their own unique way of handling HTML signatures.

  • Outlook: Outlook is known to use its own word processor for rendering HTML, which can sometimes cause minor formatting shifts. You can sometimes improve this by creating a new signature in Outlook’s settings and then pasting our signature into it.
  • Gmail: Gmail is generally reliable with HTML, but it’s important to use the “Highlight Signature” button.
  • Apple Mail: Apple Mail can sometimes have issues with image scaling. If your images appear too large, try re-installing the signature and checking the preview before saving.
